4 Advice on choosing module options and electives

Modules are the individual units of study which lead to the award of credit. Many programmes offer students the opportunity to choose between different modules that they are interested in. However some new students will find they do not need to make selections as all their modules are compulsory. If students need to choose modules, their department will advise them of how and when to do this, usually during departmental introductions.

ÂÒÂ×Ðã‘s new Module Catalogue gives access to a comprehensive catalogue of all modules across the whole of ÂÒÂ×Ðã, published in a consistent, searchable and accessible format.

Affiliate students:

Affiliate students will be advised of the process for selecting modules by their home department. Modules may need to be selected before enrolment, or after the student has arrived at ÂÒÂ×Ðã.

Modular/Flexible Taught Postgraduate students:

Modular/Flexible Taught Postgraduate students may be unable to pay their fees until they have chosen their modules. Students should check with the ÂÒÂ×Ðã Student Fees Team if they are unsure about this by emailing fees@ucl.ac.uk or calling +44 (0) 20 3108 7284. Students might also wish to contact their programme administrators to confirm details of their programme’s fee structure.

4.2 Deadlines for choosing modules, and how a student will know if they have secured a place

You will receive an email through the Student Records system, Portico, with details of module registration deadlines. Later on, you will also be asked to check in Portico and confirm that your moduleÌýregistrations are correct. It is important that you check that you are registered for the correct modules so that you are entered for the right assessments.

4.2.1 New UG/PG Students:

During the first two weeks of each academic year you will register your courses on Portico. You must choose options permitted by your degree syllabus. The deadline for completion of course registration isÌýFriday of the second week of term 1 (academic week 7).

After submitting your choices on Portico, and once teaching has commenced, you will not normally be permitted to change courses.

After teaching has commenced, in exceptional circumstances, you may apply to the Departmental Tutor for authorisation to change courses. If this is agreed by the Departmental Tutor you MUST obtain and complete aÌýChange of Course FormÌý(/students/status/change-your-studies/change-your-degree-programme-or-modules).

4.2.2 Continuing UG students

New Process for Choosing Modules for 2023/24 (continuing students)

Continuing undergraduate students and postgraduate students on programmes of more than 1 year’s duration will have an opportunity to make an initial selection of modules for 2023/24Ìýat the end of the spring term, with places being confirmed in the summer.Ìý

4.2.3 Change of Module Selection

If a student wishes to change a module selection, requests need to be submitted and approved by the department.

Exact deadlines will be published each year in the ‘Module Selection Task’ on Portico. On Online Programmes, exact deadlines will be set, managed and communicated by the Department

Once a student has selected the modules they wish to study at the start of the first term, it is expected that these choices will be binding. However, it is recognised that a student may occasionally wish to change their modules for Term 1 or Term 2.

Any such request from a student to change their selected module(s) is subject to the following conditions;

  • There must be a clear academic reason to request a change (for example that a particular moduleÌýdirectlyÌýlinks to a chosen dissertation topic)
  • Permission must be sought from the tutor of the module you wish to move to, and from the tutor you wish to move from (in that order). Either tutor may decline the request and in such cases you will be required to remain with your original choice.
  • That the request must not require any substantive change to the operation of the module. This may mean the timetabling of either module, or the need to create additional seminar groups. Additionally, the request may be refused if it results in the numbers of students enrolled on a module dropping below a viable level.

Term 1

  • Requests to change modules must be made on the relevant form (available at ) and this form must beÌýfully completedÌýbyÌýthe end of the second week of Term 1 i.e. the end of the first teaching week of term 1.

Term 2

  • Requests to change modules must be made on the relevant form (available at ) and this form must beÌýfully completedÌýby (Term 1, Week 11).

4.2.4 Affiliate students

An up-to-date list of module choices open to affiliate students (undergraduates and postgraduates) is distirbuted in mid-September each year. You will be given hard copies of this document at the SSEES Induction Session in September. If you miss this session for any reason, please feel free to collect a copy of the relevant document from the Affiliate Administrator.

PLEASE ENSURE YOU MAKE YOUR MODULE SELECTIONS FROM THE LIST FOR THE RELEVANT YEAR.

You will be shown how to register your chosen modules on Portico during the SSEES Affiliate Induction Briefing.

As affiliate students, you are obliged to take a full-time course load for the period you are here, as follows:

UNDERGRADUATE AFFILIATES:

  • Full-year (Terms 1, 2 and 3): 120 creditsÌý(60ECTS)
  • Term 1 only: 60 credits (30ECTS)
  • Terms 2 and 3: 60 credits (30ECTS)

POSTGRADUATE AFFILIATES:

  • Term 1 only: 60 credits (30ECTS)
  • Terms 2 and 3: 60 credits (30ECTS)
  • Full-year (Terms 1, 2 and 3): 120 credits (60ECTS)

PLEASE NOTE THE FOLLOWING IMPORTANT POINTS:

  • Affiliate students may only take a reduced course load if they have written permission to do so from their home institution. This should be sent via email to ssees-affiliate@ucl.ac.uk
  • If you are registered only with SSEES, you must take at least 50% of your modules within SSEES.
  • If you are registered jointly in two departments, you must take at least 50% of your modules in your first admitting department and at least 25% in the other.
  • You are responsible for confirming with your home university that your home institution approves your SSEES modules choices and will recognise them for credit, if required.
  • If you decide to withdraw from a module after you have signed up for it on Portico, you must inform the Affiliate Administrator, and must also inform him which module you have selected to replace it by providing the module code and name. Please send this information via email toÌýssees-affiliate@ucl.ac.uk

Taking Modules Outside of SSEES:

If you wish to take modules outside SSEES, you will have to contact the relevant outside department (e.g. Anthropology, Geography etc) during registration week in order to sign up for a module in that department. Each department has their own procedure for admitting Affiliates to their modules. You will be provided with information about the departments’ different procedures during the SSEES Affiliate Student Induction Session. PLEASE NOTE:ÌýIf you do choose to sign up for modules outside SSEES, it is your responsibility to check that your outside modules do not involve timetable clashes with your modules in SSEES. Remember that, as a SSEES Affiliate, you must take 50% of your modules in SSEES. Please be aware that modules across the College fill up rapidly, so it is a good idea to choose your modules as soon as possible in registration week.

Changing Modules:

Occasionally students may wish to change their module options after teaching has begun because they find a module does not meet their expectations. Changing modules after induction week will require

a) that there is space on the new module
b) the permission of the relevant Module Tutor and
c) the permission of the Affiliate Tutor.
